We use Ziflow to help our studio and our clients manage the process of accurately reviewing and approving packaging designs and artworks for fast moving consumer goods. It acts as a single location where all project participants can add comments, submit and clarify queries and enable clear decision making in a timely manner. Before Ziflow, managing all the comments, queries and approval that came thru via email, phone calls, etc. was incredibly time consuming. Ziflow gives the project team a lot of that time back!
  • Simple and user friendly interface with little if no learning curve.
  • Accurate and specific change requests are especially enhanced when using the markup tools.
  • Nice to be able to assign who the decision maker is and also be able to change project participants easily, like when someone goes on holiday or sick leave.
  • SOCD (sent, opened, comment, decision) progress indicators provide an awesome 'at a glance' view of project participants activity.
  • Email notifications and integration with Asana is brilliant.
  • Sometimes when you have proofs that may have names that are similar, it can cause issues with integration on Asana.
  • Not often, but at times it can be slow to update Asana (but could be due to Asana or slow internet)
  • It would be good to be able to upload batches of files in one go without them becoming one file. (not sure if this can already be done and I missed this feature)
  • Make it clearer for users to make sure their comment or change request is captured and saved.
Being able to track who made what decision and/or comment and also when is vital. Also by removing any ambiguity on change requests, especially when using the markup tools, means even the most complex changes are clear and we can proceed with confidence to the next project stage. It is also nice to be able to upload a file to assist with comments and what they specifically refer to.

I started using ziflow one year ago doing home office, so my training was remoted. In a very few days I was able to work with it since it's a very intuitive and simple interface. But instead of being simple it's very complete and satisfy all my needs as producer to check assets and giving and receiving feedback.The principal problem Ziflow resolves is the possibility of sharing several assets under the same route and the easy way of surfing into each one. It turns into a gain of time when we have many projects and proofs, because it's very easy to localize any project thanks to the search filters.

When we have several proofs under the same project, the new interface makes a little bit difficult to find each version, the thumbnails don't show the aspect ratio (as the old interface did). Also the name of the proofs appear cut when the title is long. On the other hand, the dashboard shows clearly each stage of approval, which makes very simple managing several proofs.

Ziflow helps us applying collaborative work methodologies with a team spread across the world. We manage to achieve higher productivity, reduce the communication noise and limit the number of "parallel discussions" happening on various communication tools adopted by the workgroup (e.g. instant messaging, emails, etc.)
Our use case is the localization, editing and proofing of boardgames.

Ziflow is well suited for publishing processes of all nature - from print products to online publications and even media-enriched publications. It is great for working on the go and submitting notes for immediate feedback using the in-built communication capabilities. I have not found scenarios where Ziflow could be considered not appropriate, given that the scope of Ziflow is very precise and fills a specific niche in the market.

We create digital media for advertising and use Ziflow to provide proofing and approval functionality to clients. They offer corrections and additions and ultimately approve Media for printing and web.

Ziflow allows multiple departments to have visibility over the progress of the same project. By allowing multiple users to add comments within the same document, we can track all changes in a very organized way. Additionally, Ziflow also allows you to keep historical tracking of all the changes since the beginning of the project for easy reference.

  • Software bug when updating one of many document status. Sometimes, Ziflow displays a document as "pending" even after being approved unless you manually refresh the page.
  • When a comment is too long, the email notifications are displayed incomplete.
  • When using "compare mode" with comments, Ziflow leaves little space to look at the actual document. Thecomment section of both proofs combined can easily take up to 50% of your screen.
As a company in the product development sector, the majority of projects require input from different departments, such as, Product Development, Marketing, Social Media, E-commerce, etc. Ziflow is a powerful tool that has allowed us to facilitate what before used to be physical documents passing through each department. A single round of comments could take days. Instead, using Ziflow allows us to have all departments involved add their comments simultaneously if a much faster fashion, making the process more effective and efficient.

We make marketing, brand identity, social media, and web design for our clients. We use Ziflow to send to the clients for proofing and reviewing all the things that needs their approval such as social media graphics, logo studies, landing page mock-ups, web design mock-ups, print collaterals, among other things.

Ziflow is definitely best suited for sending proofs to clients especially in materials that needs visual reference to easily determine what needs to be changed and corrected. It can definitely save you tons of time, instead of going back and forth in reading the comments from an email to make sure you've understood the what needs to be done, you can just easily view those comments in the proof here in Ziflow.

I use Ziflow to move our packaging and labels through the approval process across multiple teams in our company. I, or another designer, makes the label in Adobe Illustrator and then Ziflow is perfect for receiving feedback about the artwork. Not only can each person comment about specific parts of the artwork using Ziflow tools. This avoids confusing problems that I've had at other companies in the past and allows for specificity and streamlines the entire process.

We create a lot of websites and digital assets. Ziflow helps us to review live staging websites, banner ads, and production websites in realtime and referencing the true interactivity of the things we are building, testing and readying to launch. Every other option we've seen requires reviewers to comment on static printouts or screen grabs of the designs. This falls short of being able to interact and comment on the functionality, and overall UX/UI.

With Ziflow, that is not a problem. We're able to look at the live assets and provide the proper, constructive insights so that the end product is the best it can be.

  • While Ziflow is great for live site markups and comments, it would be good to see additional integrations with some our other business platforms to further integrate the platform with our workflows across the company
  • Integrations they have now are good for some of our teams, however there some platforms that our accounting team inquired about to integrate for billing/tracking purposes
  • It would be good to see them add additional "How-To's" with videos and links for some of our less tech-savvy team members to faster on the uptake and how the user interface can guide them to the task at hand
Ziflow, as a platform, provides active design and development teams with an incredibly useful tool for being able to review our work in progress. This allows us greater control and time efficiency in our development process. The ability to then share these live projects for internal and external reviews has significantly reduced the volume of emails and back and forth on Slack and Teams so we can spend our time developing and delivering and not having to chase people down to get them to review what they need to.

We currently use Ziflow to proof check artworks for online and product packaging. <br>This has streamlined the process and not only saved us time, but made it more efficient to add comments and show small as well as bit updates. It makes it easier to corporate and brings different teams together, being able to solve problems efficiently and easily.

Very well suited when creating an artwork. Easy to add comments and translations into an artwork and make comments on small errors, to easily fix. Shows well the list of artworks you have left to approve.

Less suited when doing a lot of artworks in a row. We sometimes proof check around 50 artworks, and you have to each time go out of the artwork and send a notification to the designer.
Also when you go back your search is lost and you have to search to find the artwork again.

We use Ziflow as a review process for video production. We use it to storyboard, layout design, rough cuts, and final videos. We have several contractors, an agency, a client, and possibly an additional brand agency all involved. With so many stakeholders and creatives involved, it is vital to use a tool like this to all speak the same language and be on the same page. Things can get lost and forgotten, and the specificity of notes and versioning keep us all up to date and current on what we're talking about and where we're headed with creativity.

We use Ziflow both internally and client-facing to share design concepts and options. It allows our clients and managers to be able to directly point out areas of a design they want to change or have questions about and eliminates the gap in language between a designer and another professional with no design vocabulary. It also organizes feedback and allows communication about approval.

  • I think the organization definitions for Active Proofs and Archived Proofs, etc are a little confusing.
As a designer, Ziflow is well-suited for everything I do, as it is all visual work. For instance, I regularly create designs that clients need to review and leave feedback on. This tool is always appropriate for that because of the nature of its purpose. I do not however use Ziflow for web design review, though it is capable of it. We use a more powerful tool for that.

We currently use Ziflow to assist in getting approval of designs from our customers. The problem we were solving was that our original process was time-consuming to set up the proof to send to the customer. Ziflow helps us save time from doing repetitive tasks that we were doing before. We use Zillow for approval of documents for printing.

I use Ziflow on a daily basis for all my design proofs. It enables me to send design artwork to anyone in the world and allows my clients to all comment on the same proof live. This prevents contradicting comments, confusion on what amends are for what page as clients can highlight the exact words or area they want to be changed. The Decisions feature allows me to know when the review has been completed and what they expect next from me. This is a great time-saving tool and wouldn't be without it.
  • Live commenting allows my clients to comment all at the same time on the same proof and can see in the top corner who is looking at the proof which is also a great feature. This allows everyone to be able to talk in real-time and see the exact area being referenced which stops misunderstanding.
  • In the Business version, you have a great feature where you can tick each comment so I can track which amends I have or haven't done. I love this as I'm always getting interrupted mid amending which means I know exactly what point I have got up to when I go back to the doc so I don't have to spend time checking all over again what I have and haven't done.
  • I like the copy editing feature it's much more robust than other products like Ziflow I have tried out like Workfront. When my clients want to edit copy the comment will have these boxed tags to say that 'Replace with' so I know exactly what is the original copy and what needs to go in there instead. I find this extremely helpful.
  • When a proof is locked I'm unable to use the ticking feature on comments to indicate that I have resolved that amend I currently have to temporarily unlock the proof. Would be nice if I could still use this feature when the proof is locked.
  • A feature to send auto-reminders or a pop on the proof to notify approvers to make a decision would be handy so I don't have to go chasing each and every one.
As a designer, it is perfectly suited to me. I use it in my everyday working life for all my artwork proofing needs. This tool has been so helpful in organizing my artwork proofs and clients' comments that since I moved from freelance to Full-Time employment I have implemented it at my company and upgraded to the business plan so I can have access to more tools and features which has been fab.

I went through a small transition period between freelance and new job where I didnt have Ziflow and struggled and had so many issues with feedback comments being sent on commented PDFs etc and just made everything confusing and frustrating. As so as I got my Business Ziflow it was like a sigh of relief as Ziflow basically sorts out all my proof comments issues I had before making the process so much easier for me. My colleagues have told me also that it has made it easier for them to. It allows for proofs not to be lost on an email and there all in one place and the variety of tools my colleagues can use to comment has helped them out alot in order to tell me exactly what they want.

There is rarely an instant I don't use Ziflow I suppose the only time I don't use it is when I'm doing quick social assets and I send them on a team chat instead and its not really worth stilling a proof but everything else goes into Ziflow.

We use Ziflow as proofing software internally and externally with our clients. It is an awesome tool to streamline our process and back and forth between team members and clients. We find it cuts down time and organizes all of our information to be in 1 convenient place. We use this product with a wide variety of clients and types of projects.

  • Sometimes managing the settings is confusing.
  • Non-users do not have a project dashboard - rely on email notifications.
We have found Ziflow to be extremely helpful with projects where multiple team members are involved. This tool streamlines all feedback and updates in 1 location where everyone has visibility. This has cut down on our time managing projects and there is less back and forth between all project members.

We utilize Ziflow to review and edit our product labels and communicate such things across multiple departments. Ziflow has increased our efficiency immensely as we no longer need to physically pass edits around the office and have a massive paper trail- it is all accessible and easy to use online. This has become extremely useful in maintaining our productivity as employees sometimes need to be able to work from home.

From my experience, Ziflow has been well suited for editing any type of AI or visual files, as well as keeping track of deadlines. What Ziflow would not be well suited for I would imagine would be a project you just need to do by yourself and don't need to communicate with others on, but even then it could still probably be helpful!

It is used within a segment of our business spanning several departments as well as outside clients. With so many individuals reviewing documents this helps us consolidate feedback, clearly state deadlines and verify updates have been made.

We use it for collaboration around the edits that need to take place for an asset. Users can comment and collaborate on the work that needs to be done.   • Notes being seen all at once is overwhelming. Have to turn on the function to see notes per page.
Ziflow is well suited in the creative field. You can easily send photography and layouts for markups. Marking up the project is easy and it leaves little room for misunderstanding when working with multiple people. It is also great to see if an image or layout is clearly approved or is still a work in progress.

Ziflow

We used Ziflow to proof labelling and NIP labels. Ziflow allowed us to create stages of who were to see what after so-and-so viewed the project, and allowed everyone to create comments in a specific area. It also allowed replies to comments, and as a designer myself, it also allowed me to tick off comments as I made amendments in my work.
  • Allowing people to comment specifically where and what and have a line drawn to it
  • Separating stages and approvals
  • The easiness of uploading a new version of a proof
  • I would really like to see that you can upload different medias in a same combined proof, especially .mp4 and static images
Works extremely well for packaging, especially when there's finite details/lots of wording. Or even looking over any design piece/work that is text-heavy and has a lot of graphics. Doesn't work as well when you are proofing different medias but it's all one project, they force you to separate them out.

The company I work for uses Ziflow to manage the proofs for all design and website projects. The version control and sign off feature have made our projects flow so much easier with the ability to have everything in 1 place with all the feedback easily accessible. Since we have only been using it for a few months there are still some things few things we haven't tried yet like the request form. I think that will be super valuable for automation purposes so looking forward to trying it out. So far our clients are loving it and saying how easy it is which confirms the decision of making the purchase.
  • Keeps projects organized far beyond what email / note taking can do.
  • Makes the communication super clear for revisions and explaining things.
  • Keeps design team and clients accountable on decisions essentially in writing.
  • The website mark up is a little buggy at times and this is an area we want to use way more.
  • When in a proof would be nice to have a button that goes back to the proof info vs just back to the dashboard.
  • Sometimes large files can look pixelated when uploaded to Ziflow.
For all large design projects, logos, enewsletters, website designs and multi page documents we go straight to Ziflow. When a client asks for a tiny text or image change we simply mke the change and email back a revised file. Requests for website updates or fixes also stay in email since they require no proofing.

Ziflow is the main proofing software used by Campbell Ewald. It's used to electronically route projects from team to team, which eliminates the need for someone to physically route a project. The interface is very accessible, and more than one person can interact with a project at the same time, which eliminates [the] wait time between routes.
  • It is very easy to use. Comment tools are very accessible.
  • Helps with multitasking — you can work on more than one project at the same time.
  • Helps create a quicker workflow process. More than one person can review at one time, and the wait time between routes is shorter for projects with tight turnarounds/deadlines.
  • Love the compare tool. It helps with quicker reviews.
  • It has software bugs. Sometimes you have to refresh to get rid of the bug or call customer service.
  • Wish there were more comment tools. Right now, they are too simplified and rudimentary.
  • Compare tool also needs a little work. It sometimes freezes, but it is still a great tool.
  • Zoom feature is limited.
It's great for multipage projects, such as a brochure or presentation deck. The compare tool is very helpful when reviewing those multipage jobs. Also, it handles videos pretty well. It is clunky with projects that have large surfaces, such as out of home or large posters. You'll need to use the Zoom tool for those jobs, and it's more time-consuming to scan using that tool.
